1. Scope
This Privacy Policy describes how Koalaty Home Services, LLC (“the Company”) collects, uses, and protects information within the Koalaty Home Services Employee Portal. It applies to employees and administrators who access the Portal as part of their work with the Company.
2. Information we collect
The Portal stores the following categories of information:
- Account information — your name, work email address, role, hire date, and compensation settings such as your base rate.
- Compensation data — customer accounts attributed to you, commission calculations, payment schedules, deductions, adjustments, and payout history.
- Employment records — notes and records maintained by administrators as part of ordinary personnel administration.
- Activity data — sign-in events, including the date, time, and browser/device type, collected for security and auditing.
3. How information is used
Information in the Portal is used to calculate and administer compensation, communicate pay information to you, maintain personnel records, secure the system, and comply with legal and record-keeping obligations. It is not sold, rented, or used for advertising.
4. Who can see your information
You can see your own compensation information. Access controls enforced at the database level prevent employees from viewing one another’s data. Authorized administrators can view employee records for legitimate business purposes, including payroll administration and personnel management.
5. Service providers
The Portal is hosted on trusted infrastructure providers (including Vercel for application hosting and Supabase for database and authentication services). These providers process data on the Company’s behalf under their own security and privacy commitments. Operational data may also be synchronized from the Company’s field-service management system.
6. Security
Data is encrypted in transit, protected by authenticated access, and segmented with row-level security so each account can only reach its own records. Administrative actions require an administrator role that is verified on the server for every request.
7. Retention
Compensation and employment records are retained for as long as needed for payroll administration and to satisfy applicable record-keeping requirements, including after employment ends where required.
